Privacy Policy — Bizflow

Bizflow is a business management app by CloudShope Technologies Pvt. Ltd., used by businesses to manage orders, quotations, inventory, products, customers, production, and staff attendance. This policy explains what information the app collects, how it is used, and who it is shared with.
Who can use this app
Bizflow is available to any business that uses CloudShope's business management platform. Businesses can get started by contacting us at info@cloudshope.com or through our website. Each business's Owner or Admin creates accounts for their own staff, and staff sign in with the username and password provided to them.
Information we collect
Account information
Your username, password, name, email address, and mobile number, as set up by your Owner or Admin or updated in your profile. Your password is stored securely and is never visible to us in plain text.
Mobile number verification
If you reset your password, we send a one-time verification code to your registered mobile number over WhatsApp. Your mobile number is used only to deliver this code and to identify your account.
Location (only if you turn it on)
If you enable “Capture location when marking attendance,” the app reads your device's GPS location once, at the moment you mark attendance, and attaches those coordinates to that attendance record. The app does not track your location in the background, does not read your location at any other time, and does not store a location history beyond each individual attendance mark. You can leave this setting off and use the app normally.
Business data you enter
Names, phone numbers, and addresses of customers and suppliers you add to the system; order, quotation, payment, pricing, and payroll records; product photos and company documents you upload. This data belongs to your business and is entered by you or your colleagues as part of normal use.
Photos
If you upload a company logo or product images, the app accesses your photo library only for the image you choose to pick. It does not scan or upload your photo library in the background.
Camera
The camera is used only when you choose to: to scan a product QR code or barcode while creating an order, to scan a site QR code when marking attendance, or to take a photo for a product or your company logo. The app never uses the camera in the background.
How we use this information
To run the core functions of the app: signing you in, displaying and managing orders, inventory, finance, HR, and attendance records for your business, and, where you opt in, recording a location with an attendance mark.
Who we share it with
We do not sell your data. We do not share it with advertisers or data brokers. All data is sent directly to CloudShope's own servers over an encrypted connection.
The only outside services involved are:
- WhatsApp messaging: your mobile number and a verification code are passed to our WhatsApp messaging provider only to deliver that code to you.
- Google Maps: if you tap to view a captured attendance location on a map, it opens in your browser or the Maps app. This is a normal link, not a data transfer we control.
Data retention and deletion
Your business's Owner or Admin can delete staff accounts from the Bizflow web panel. If you want your own account or data deleted, ask your Owner or Admin, or email info@cloudshope.com and we will delete it within 30 days, except records we must keep by law, such as tax invoices.
Children's privacy
Bizflow is a business tool intended for adults and is not directed at children. We do not knowingly collect information from children.
Security
Data is transmitted over HTTPS. Access to business data within the app is limited by the permissions your Owner or Admin has granted your account.
Changes to this policy
If this policy changes, we will update the “Last updated” date above.
